Quick answer

For contractors, the automations worth building first are missed-call text-back, instant quote-request replies with a booking link, quote follow-up at day 1 and 3, invoice on completion, and a review request 48 hours later. With BuildSites all five run under one Automation plan at $297 a month, maintenance included, with nothing to pay upfront.

TorontoFlooring, plumbing, HVAC and renovation companies in North York, Scarborough, Etobicoke, East York, Downtown and the Beaches run on the same handful of workflows. We build them for contractors across Toronto from our Toronto base. We work with you by video and on site where it helps.

Your trade's automation playbook

Choose a trade to see the workflows we build first, based on what we've done for flooring, renovation and service companies in the GTA.

  1. Instant reply to quote requests with a measure-booking link
  2. Estimator routing by area (west GTA, east GTA, Montréal)
  3. Quote follow-up at day 1 and day 3
  4. Invoice on install completion, e-transfer matching
  5. Review request 48 hours after install

Which automations pay off first for contractors?

The five that pay off first are missed-call and form reply, instant quote-request replies with a booking link, quote follow-up, invoice on completion, and a review request 48 hours later.

A trade business runs on handoffs: inquiry, site visit, quote, schedule, job, invoice, review. Every handoff done by hand is a place a lead goes cold or a payment slips. These automations cover every one of those handoffs.

The Automation plan is $297 a month with no upfront cost, on a 12-month term.

What does each automation actually do?

Each one sends a message or routes a task without you touching your phone.

  • Missed-call and form reply: a reply goes out in under a minute, 24 hours a day, in English or French.
  • Instant quote-request reply: a form submission gets a reply with a booking link in under a minute, 24 hours a day.
  • Quote follow-up: estimates that have not been accepted get a gentle nudge.
  • Lead routing: new leads are routed to the right team member, with follow-up at day 1, 3 and 7.
  • Invoice on completion: the job is marked done and the invoice goes out. Polite reminders follow at day 3, 7 and 14. E-transfer matching and a Monday owner summary are included.
  • Review request: 48 hours after every completed job, a text or email asks the customer to leave a review.

What did we set up for Flooring Office?

Quote requests from the website got an instant reply with a booking link, were routed to the estimator covering that part of the GTA, and were followed up twice if there was no answer.

Completed jobs triggered the invoice and a review request automatically. Read the full Flooring Office breakdown to see the exact sequence.

What tools does the automation run on?

It runs on the phone number, inbox and calendar you already use.

Supported tools include HighLevel, Mailchimp and simple CRMs for messaging; QuickBooks, Xero, Wave, Stripe, Square and Interac e-Transfer for payments; and Google Calendar, Square, Jane and Fresha for scheduling.

Text messaging is billed by the provider, typically $20 to $40 a month on top of the plan fee.

How does the Automation plan compare to building a full website too?

The Automation plan and the Website plan are each $297 a month. Taking both together costs $445 a month, saving $149 a month compared to paying for each separately.

Where do I start if I have never used automation before?

Start with lead follow-up, because speed to the lead decides who gets the job.

  1. Lead follow-up, instant reply and follow-up sequence.
  2. Estimate scheduling and reminders, confirmations by text and email, 24 hours and 2 hours before, with one-tap reschedule.
  3. Invoicing and payment matching, invoice on completion, reminders at day 3, 7 and 14.
  4. Review requests, sent 48 hours after every job.

Automation is usually live within about a week. BuildSites serves contractors across Toronto, the GTA and Montréal, from Oakville to Oshawa and Laval to Longueuil.

Questions we get asked

I'm not technical. Who runs the automations?

We do. You keep working from your phone; BuildSites builds, hosts and maintains the automations under the plan. No setup or build fee is charged upfront.

Which trades do you work with?

Flooring, renovation, plumbing, HVAC, electrical, landscaping, painting and roofing so far. The core sequence is the same; the wording and steps are tailored to each trade.

Can the automations run alongside my existing website?

Yes, if the site can host a form or booking page. Often we rebuild the site at the same time so the whole funnel works together, at $445 a month for both plans.

What are the contract terms?

All plans run on a 12-month term, then month to month with 30 days' notice to cancel. Remaining months are due on early cancellation. Prices are in CAD plus tax.
