Invoice & Payment Automation

Invoices go out on time, reminders go out politely, and payments get matched without a spreadsheet.

Quick answer

Invoice automation sends the invoice the moment a job is marked complete, matches e-transfers and card payments automatically, and chases late invoices with polite reminders at day 3, 7 and 14.

TorontoTrades and studios in North York, Scarborough, Etobicoke, East York, Downtown and the Beaches usually have thousands sitting in unpaid invoices. We connect invoicing and payment reminders for businesses across Toronto from our Toronto base. We work with you by video and on site where it helps.

How much cash is tied up in late invoices?

Polite reminders go out at day 3, 7 and 14 until the invoice is paid. Adjust the numbers to match your business.

What does invoice automation actually do?

The moment a job is done, the invoice goes out. Polite reminders follow at day 3, 7 and 14. Incoming payments are matched to the right invoice automatically. You get a Monday summary of who owes what.

Without this, invoices go out in batches when there is time, e-transfers arrive with no reference, and someone spends the weekend reconciling. Cash flow suffers even when the business is busy.

What gets automated in the billing cycle?

The automation covers invoice creation, payment reminders at day 3, 7 and 14, e-transfer matching and a weekly owner summary every Monday.

  1. The invoice is created and sent to the client.
  2. Reminders go out at day 3, 7 and 14 if the invoice is still open.
  3. When payment arrives, it is matched to the invoice and booked.
  4. Every Monday you receive a summary: what came in, what is still outstanding.

Reminders stop the moment payment lands, so a client who pays early never sees a later reminder.

Deposits and no-show fees are the other half of getting paid: see what salons charge for a no-show fee.

How does e-transfer matching work?

Incoming Interac payments are matched to open invoices by name and amount and booked into your accounting software. Unmatched payments are flagged for a one-click pick rather than left in a pile.

E-transfer matching is the part of the automation that matches incoming Interac payments to open invoices and books them into your accounting software automatically.

We built eTracer for exactly this problem. The same logic runs inside the automation plan.

Which tools does it connect to?

It runs on QuickBooks, Xero, Wave, Stripe, Square and Interac e-Transfer.

What does the automation plan cost?

Automation is $297 a month plus tax on a 12-month term, then month to month with 30 days' notice. Remaining months are due on early cancel.

If you also need a website, the combined plan is $445 a month plus tax, saving $149 a month versus taking both plans separately.

Text messaging for reminders is billed by the provider, typically $20 to $40 a month extra. See /pricing for the full breakdown.

Invoice automation is one part of a broader set of automations. Related setups include lead follow-up and appointment reminders. Contractors can see how these fit together at automation for contractors.

How long does setup take?

Automation is usually live within about a week.

Questions we get asked

Will reminders annoy my customers?

Reminders are short and polite, and they stop the instant payment arrives. A client who pays on time never sees one.

Can it match Interac e-transfers automatically?

Yes. Payments are matched to open invoices by name and amount and booked into your accounting software. Unmatched ones are flagged for a one-click pick.

Do I need to change my accounting software?

Usually not. The automation connects directly to QuickBooks, Xero and Wave, and also works with Stripe, Square and Interac e-Transfer.

Is there a setup fee?

No. There is $0 upfront cost. The first payment of $297 a month plus tax is due the day the automation goes live, on a 12-month term.
